Red, White & Blue Gala Dinner

Brief: Create a memorable dinner dance event for 150 people to finish their annual conference.

Location: Hilton Hotel, Newcastle

Solution: We decided to exploit the patriotism surrounding the Diamond Jubilee and the Olympics and create a red, white and blue-themed event. This also had great synergy with the client’s name, which was Britannia. Guests entered the cocktail reception (all drinks were red, white and blue of course) and were greeted with huge fabric flames next to the doorway, a string quartet, and a Britannia human statue in the same pose as their logo.

The wow moment came when they entered the ballroom for dinner. It was draped in white, beautifully lit with roaming blue gobos and pin spots on the table centres, and twinkling fibre optic stars across the ceiling. The chairs had red and blue sashes, the hotel provided red and blue water glasses, and the table centres were hats, bow ties, flags and whistles, all of which the guests could use later in the event.

Entertainment: The string quartet played during the dinner, and then we had a 12-person choir and pianist sing Jerusalem, Land of Hope and Glory, Rule Britannia and God Save the Queen whilst we played footage from the Last Night of the Proms on big screens. At this point, everyone joined in by singing (lyric sheets were provided), waving their flags and blowing their whistles. Then there was a charity auction, followed by a fantastic DJ to round things off.

Challenges: The ballroom had no windows, and it was also the venue for the conference sessions the same day, so we knew we had to completely transform it. We also had a limited budget in order to achieve this. We saved money by having a DJ instead of a live band, and by having party-prop table centres rather than floral arrangements, and this allowed us to really focus on the room dressing.

Favourite moments: We loved how much the guests got into the spirit of the night by dressing up in crazy outfits, and joining in with the choir.
