Exhibition Stand Management at MWC

Brief: To support the busy marketing team with all aspects of logistics and planning in the lead up to their participation in Mobile World Congress, and then manage their huge, two storey exhibition stand onsite throughout the event.  

Location: Fira Gran Via, Barcelona

Solution: We sourced and coordinated a number of different local suppliers for the event, including caterers and transport providers. For the catering, we analysed the number of people who had attended the stand the previous year, and then made judgements on quantities based on the new stand design and how this was expected to impact footfall. However, one of the biggest challenges was the efficient management of the staff members who were present during the show. We handled all of their invitations and registrations to Mobile World Congress, dealt with issues and queries, and also put in place a database including photos, job roles, phone numbers and days of attendance for use by the stand reception staff. This meant that despite having over 100 staff members onsite, we were able to locate people quickly and easily during the show, which made connecting visitors with the appropriate contacts very efficient.

Challenges: There were seven private meeting rooms on the stand as well as numerous informal meeting spaces, and as part of the logistics planning, we were involved in booking meetings both onsite and in advance of the event. The client actually developed their own app for managing the meeting spaces, but by the time this came online we had already booked dozens of meetings into an alternative system. We coordinated the changeover between the two systems, communicated the process to all stakeholders, and ensured that by the time we arrived onsite, we had one consolidated method of booking and viewing meetings for the whole reception team.   

Favourite moments: As part of the onsite stand management, our team encouraged the client’s onsite staff to come to us as a first port of call for any issues or queries. Our problem-solving abilities were put to the test when one of the senior executives asked us if we could find a charging lead for a Motorola Razr phone, which must have been at least 12 years old. However, we had a think, made a few calls, and managed to track one down within an hour!
